This privacy notice for Minerva Training and Consultancy Ltd (doing business as Minerva) (‘we’ ‘us’ or ‘our’), describes how and why we might collect, store, use, and/or share (‘process’) your information when you use our services (‘Services’), such as when you:

What information do we collect?

We collect personal information that you voluntarily provide to us when you express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

Information automatically collected

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information.  This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes. Like may businesses, we also collect information through cookies and similar technologies.  The information we collect includes Log and Useage Data, Device Data, Location Data based on your IP address.

As a customer of training services will require personal information from you.  Detailed below is how and when we might use it:

  • Mailing lists. We regularly email out newsletters and information via a mailing list to our customers.  We do this to keep customers up to date with the latest developments within our organisation. We do not trade or sell mailing lists with any other organisations or businesses. If you wish to receive this information you will need to actively opt in to being on our system.  You can easily opt out by following the link at the bottom of the email.  

  • Certification.  Our certificates are processed on a system we use for internal purposes only. The information does not get passed to other organisations and only people within our company who need to have access to the system (such as our admin team who produce the certificates) are allowed to view it. 

  • Purchasing courses. When you purchase one of our courses there is information we collect regarding payments and postage. We provide you with an invoice and our bank details to pay by BACS.  If you give us permission to, we will add you to our mailing list so that you can receive further information about new products that we add to our current range.

  • Links to other websites Our website may contain links to other websites of interest.  Once you have used these links to leave our site, we do not have any control over that website. This means that we cannot be responsible for privacy of any information that you provide while visiting other sites.

  • If you fail to provide personal data Where we need to collect personal data by law or under the terms of a contract, we have with you and you fail to provide that information data when requested, we may not be able to perform the contact we have with you.  In this case we may have to cancel the product or service but we will notify you if this is the case.

  • Attendance of training records. We need to keep records of delegates who have attended our training courses so that we can issue certificates and invoice correctly. The  forms send information directly and securely onto our google drive.  Only people within our organisation who have permission to do so can access such as our admin team. 

  • HMRC and Tax We are sometimes required to share our financial information with HMRC and our accountants.  They don’t ask us for personally identifiable information.

  • Testimonials and social media If you attend one of our training courses and complete a feedback form we will ask you if you are willing for us to share this in our promotional material and social media.  We will always ask for your permission first and you can always withdraw your consent.

What legal bases do we rely on to process your information?

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information.  As such, we may rely on the following legal bases to process your personal information:

  • Consent.  We may process your information if you have given us permission to use your personal information for a specific purpose. You can withdraw your consent at any time.  

  • Performance of a Contract.  We may process your personal information when we believe it is necessary to fulfil our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.

  • Legitimate Interests.  We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms.  

  • Legal Obligations.  We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.

  • Vital Interests.  We may process your information where we believe it is necessary to protect your vital interests or the vital interest of a third party, such as situations involving potential threats to the safety of any person.

We may need to share your personal information in the following situations:

  • Business Transfers.  We may share or transfer your information in connection with,or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

How do we keep your information safe?

We have implemented appropriate and reasonable technical and organisation security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure.

Do we collect information from children?

We do not knowingly collect data from or market to children under 18 years of age.

Your rights regarding your personal data

Your rights and your personal data unless subject to an exemption you have the following rights with respect to your personal data: -

 The right to request a copy of your personal data which Minerva holds about you;

  • The right to request that Minerva corrects any personal data if it is found to be inaccurate or out of date;

  • The right to request your personal data is erased where it is no longer necessary for us to retain such data;

  • The right to withdraw your consent to the processing at any time

  • The right to request that Minerva provide you with your personal data and where possible, to transmit that data directly to another data controller, (known as the right to data portability)

  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;

  • The right to object to the processing of personal data

  • The right to lodge a complaint with the Information Commissioners Office
